DEADLINE to enter classroom preferences in the EMS client
If you do not enter preferences for a timed course or section, you will not be assigned a classroom.
|
|
|
In mid-June we will send tentative locations to departments. In early July, we will send final room assignments directly to faculty via email.
|
|
Timed non-enrollment (section) space requests: Remember to submit preferences for your scheduled timed sections. If you do not submit your preferences by the deadline please contact the classrooms office to see if a classroom can be provided. Late room requests will only be possible after all other courses and sections have been assigned rooms.

Scheduling
Enter your compliant schedule in my.harvard by March 27
- Departments are responsible for ensuring that primary AND secondary components comply with the faculty legislation for the FAS class schedule. Check times and meeting patterns for compliance with the FAS schedule.
- Please review the Information for Faculty Handbook policy for restrictions on certain class meeting times during meetings of the faculty.
Important:
- Classes without compliant meeting times in my.harvard will not be assigned a classroom. The course balance tool can help you review courses for compliance.
- If a course or section is created or rescheduled after the May 17 EMS deadline, please contact the classrooms office to see if a classroom can be provided. Late room requests will only be possible after all other courses have been assigned rooms.

If preferences are not added by May 17, courses or sections will NOT be assigned a classroom.
|
|
|
Room Capacities
1. For most courses and sections, classroom assignments will be based on final enrollment numbers. If your course or section has zero enrollment, classrooms will not be assigned.
2. For courses that anticipate a significant number of first year students, correctly estimating room capacity for classroom preferences is crucial.
- Use Fall 2023 enrollment numbers to estimate Fall 2024 enrollment.
- Update the Requested Room Capacity (Curriculum Management Workflows, page 31) in the my.harvard Enrollment Tab to indicate the room size you will need.
- Important: Please use the Notes field in EMS classroom preferences to indicate that your course will have a significant number of first year students.

Classroom Preferences
1. Primary/Main enrollment components:
- Indicate your course’s technology needs in EMS by including the required room features.
- Indicate in EMS if lecture capture is required and note if the course has been approved for simultaneous enrollment.
- Enter department space for appropriate courses. If preferences are left blank, no classroom will be assigned and the location will be listed in the catalog as TBD.
2. Secondary (section) components:
- Make sure your course sections are built and scheduled in my.harvard by March 27 in order to submit classroom preferences.
- Indicate sections' general area preferences in EMS (example: Harvard Yard, Extended Yard, etc.).
Only primary component preferences will be prioritized - sections will be assigned classrooms based off of enrollment and space availability.
- Important: If sections of combined courses will be sharing classroom space(s) please enter this information in the notes section of EMS preferences.

Preferences are not room reservations. You are not guaranteed a specific room even if you add it to your preferences.
