## Scheduling Your Term-Time Exams

The FAS Registrar’s Office is piloting a Testing Center for students who are approved for exam accommodations. FAS Faculty have the option of proctoring their own term time exams or using the Testing Center which is located at Hilles, 59 Shepard Street, Cambridge.

**Final exams will continue to be managed by the Exams Office in the FAS Registrar’s Office and are not part of this pilot.**

## Student Responsibilities and Policies

- **Phone/smartwatch policy:** Beginning Fall 2025, students taking exams at the Testing Center will be required to leave their cell phones and smart watches with the Testing Center staff for secure storage during the exam. Students who have a DAO-approved accommodation that requires phone access will be allowed to keep their devices with them during the exam.
- **Submit Accommodation Action Plan:** Initiate the process by submitting your [**Accommodation Action Plan**](https://dao.fas.harvard.edu/requesting-faculty-accommodation-notifications/) at the start of the semester.
- **Check with your course faculty:** at the start of the semester ask your faculty whether they plan on using the Testing Center.
- **Scheduling deadlines:** Students are responsible for scheduling their exams no less than 3 business days before the main exam is scheduled to take place.
- **Late policy:** Students are allowed to arrive up to 30 minutes late for the scheduled exam. However, any time spent arriving late will be deducted from your exam time. If you arrive more than 30 minutes after the scheduled start time, students will be marked as a “No Show” and will not be permitted to take the exam at the Testing Center.
- **Scheduling timeframe:** Exam requests must be scheduled between **9:15 AM and 4:45 PM**. If you require extra time for your exams, please select an earlier start time to ensure your exam concludes by 4:45 PM. All exam requests are reviewed, and we will work with you and your faculty to finalize the scheduling if needed.
- **Food and drinks:** Food and drinks are not allowed at the Testing Center unless you have an approved accommodation. You may have a clear bottle of water.
- **Scooter policy:** Scooters are not allowed in any areas of the Testing Center. Scooters should be left outside the building or in the areas designated as scooter parking.
- **Required materials:** You are responsible for bringing all allowed materials to your test. The Testing Center does not provide calculators, laptop chargers, e-pens, etc. and cannot print notes or cheat sheets. Two Crimson Print printers are available in the second floor lobby. Visit [the IT Help page](https://harvard.service-now.com/ithelp?id=kb_article&sys_id=26a0755b1baf28d0351ceb9bbc4bcb87) for troubleshooting Crimson Print issues.
- **Bathroom use during exams:** Bathroom breaks are allowed, but the exam time does not stop. Notify a proctor, then sign out at the check-in desk with your name and the time. When you return, sign back in with the time.
- **Extended time policy:** Instructors may not provide additional time for exams at the Testing Center beyond the extended time approved by the Disability Access Office (DAO). Testing time does not pause for any reason – this includes asking questions and awaiting responses from course staff, or bathroom breaks. The exam end time will remain as scheduled in the system, and time limits will be enforced to ensure equity for all students and to efficiently manage limited exam spaces.
- **Makeup exams:** If a student with testing accommodations misses a scheduled exam due to illness or another personal matter, they must contact the instructor for approval to reschedule. Once the instructor grants permission, the student may schedule their exam for the next available slot, at least three business days later.
- **Contact:** The FAS Testing Center will provide you with instructions and reminders throughout the semester. You should contact [**testingcenter@fas.harvard.edu**](mailto:testingcenter@fas.harvard.edu) with questions.

## How to Schedule Your Exams at the Testing Center

**STEP 1:** Submit your Accommodation Action Plan

Initiate the process by submitting your Accommodation Action Plan via AIM at the start of the semester. Instructions on how to submit your plan can be found on the [**DAO webpage for using AIM**](https://dao.fas.harvard.edu/accessing-student-accommodation-requests/).

**STEP 2:** Schedule your exam(s) in AIM

You are responsible for scheduling your exams at the FAS Testing Center at least 3 business days before the main exam. If you do not schedule your exam at least 3 business days before the main exam is scheduled, you may be required to take the exam with the rest of the class and forgo using your accommodations.

**IMPORTANT:**

- You should always schedule your term-time accommodated exam on the day of the main exam unless you have academic conflicts. You must obtain instructor's permission and forward it to the testing center to take your accommodated exam on a different date for all non-academic conflicts.

### Instructions for scheduling your exams

**STEP 1**: Log into [**AIM**](https://sierra.accessiblelearning.com/Harvard)

**STEP 2**: To the left of the page under ***My Accommodations***, click on ***Alternative Testing***.

**STEP 3:** From the drop-down menu, select the class you want to request an exam for and click ***Schedule an Exam***.

**IMPORTANT:**

- If you see an alert instead of a drop down menu that says there are no Testing Agreements, check with your faculty if they plan to use the Testing Center.

**STEP 4:** Your faculty have filled out the exam dates for this course. Under ***Available Exam Dates***, select the exam you are scheduling for. The date and time will automatically be filled out for you. Check below under ***Exam Ends At*** and consider your schedule. You can adjust the time and date if you have conflicts with another course. Select what accommodations you want to use on the exam. When you are satisfied with your selections, click on ***Add Exam Request***.

**IMPORTANT:**

- You must sit for the exam at the same time the class is taking the exam, unless you have a scheduling conflict due to another class.

**STEP 5:** FAS Testing Center will review your exam request

If you request to take your exam on a different day than the classroom exam due to a non-academic conflict, you must forward instructor's permission to the testing center to take your accommodated exam on a different date. If your request is approved, you will receive a confirmation email.
